Document Receipt Direct Incoming Communications Traffic
Service bureaus, news centres and organisations that receive high volume of incoming fax, SMS, and telex messages spend much time sorting out these messages and ensuring that documents land on the table of the correct personnel. A large amount of effort is also put into archiving these messages/documents received for future retrieval and referencing. Ditium's Document Receipt solution provides a better alternative by automatically indexing messages based on specific data in the message. The user must predefine what data fields to use (eg. company name, date/time, fax number/email address, etc.) or provide keywords for indexing. 
Incoming messages with its respective attachments are then forwarded to a temporary folder or disk, and an acknowledgment of receipt is dispatched to the sender. Email notifications alert users to the incoming messages and decide whether to download the attachment files to their workstation or send it to the database for storage. Incoming messages and file attachments are deleted from the temporary folder once they have been viewed and/or retrieved by the user. |
